Medical & Non-Medical Requirements

Placement requirements are mandatory medical and non-medical requirements that must be completed prior to placement and kept valid for the duration of the practicum period. Pre-placement requirements are items that include immunizations, a VSS/VSC, a valid CPR certificate etc. Students receive a requirement checklist with detailed instructions along with dates and deadlines upon admission to the program. All costs associated with obtaining medical and non-medical requirements are the student's responsibility.

Placement partners including hospitals, long-term care facilities, and community clinics have pre-placement policies for students that include mandatory vaccination requirements.  Students must be compliant with the policy requirements of our placement partners to attend placements in those facilities.  If students are not compliant with those policies, they will not be able to attend those placements and will fail to meet clinical graduation requirements. To proceed in a chosen program, it is paramount students meet all placement requirements.

Western University has partnered with Synergy Gateway Verified to assist in the collection, review, validation, and storage of placement requirements.  The software platform provided by Synergy Gateway offers a secure process to store documentation electronically and confidentially while reviewing and confirming student status eligibility for placement. 

Synergy Gateway Verified

Synergy Gateway Verified provides students with a service to assist in the completion of their program’s  placement requirements.  Synergy Gateway does not set the requirements that a program requires, however it provides a  process to house, store, and have requirements validated by healthcare professionals on behalf of your school.

Electronic Requirements Verification (ERV Appointment)

The process of digitally uploading placement requirement documents, and having those documents reviewed and validated by Synergy verifiers, is the "Electronic Requirements Verfication" or "ERV" process. This process eliminates the need for students to attend an in-person appointment as all requirements are uploaded and then verified within a scheduled appointment time booked by the student.

  • Students must ensure all requirement documents are uploaded to their account by 9:00 AM on the day of their appointment. The student does not need to be “present” on the day of their appointment – this is the date that Verified retrieves the documents for review. The payment for this process is outlined during the booking process and payable at the time of booking the ERV appointment.
  • Students will receive a status update via email once the ERV has taken place. The processing time for each review status update is 2 business days.  Students are to retain all original documentation.
  • If students need to cancel an ERV appointment, they must cancel at least 24 hours prior to their appointment. 

Fees

Students are responsible for all fees associated with this process. To avoid paying multiple fees, students are encouraged to plan ahead so that their requirements are valid until their next annual Synergy appointment or graduation.

Initial Clearance Appointment: $52.50 + HST
Follow-Up Appointment: $10 + HST
Expired Document Review: $52.50 + HST
