Uploading/submitting files to a folder in Teams

For users looking to create an environment where users can submit/upload files to a folder, Teams allows users to request files through a link to a specified folder. Expiry dates can be made, and requests can be disabled to fulfill deadline needs. Additionally, owners are notified when submissions are made.

To create a request for files:

  1. Right click a Folder, then select Request Files
  2. Enter a description of the files you're requesting
  3. Copy the link to the file request, or email the link to users/Groups

Organizing Requested Files

Once a request for files has been created, it is good practice to create another folder for seen/reviewed files to avoid accidentally repeating work. 

The process for doing so is:

  1. Receive email notification when a file gets submitted
  2. Process the submission as needed (i.e., Review it, email feedback back to submitter, provide next steps)
  3. Move the file to another folder to indicate it has been processed

Questionnaires with Microsoft Forms

For users who want to collect data and responses, Teams allows you to collect data directly into Excel using Microsoft Forms.  File uploads are also possible but only from Western users, not from External users.

To create a questionnaire with Teams:

  1. From Files, select New, then select Forms for Excel
  2. From Excel, select Insert, then select New Form
  3. Build your Form and generate a link with Collect Responses
  4. View responses via Forms online, or in Excel

Questionnaires or Surveys with Qualtrics

Qualtrics is available for faculty, staff and students to use to create and administer questionnaires and surveys for any Western University work, including research surveys
