Field Descriptions
ACADEMICYEAR:
- Corresponds to the publication
date of the item
- Items must have been
published/
distributed/ produced between July

ACCESSDATE:
- In the Electronic Publications
template only, use for the last date that the article was viewed
ARTIST(S):
- See Personal Names for

- The person(s) primarily
responsible for the work in the Work of Art/Exhibition template
AUTHOR(S):
- See Personal

- The person(s) primarily
responsible for the work
- A faculty member does not have
to
be the first author of a publication in order to submit the citation to
the bibliography. List the authors in the same order as they apperar in
the publication
CARTOGRAPHER(S):
- See Personal

- The person(s) primarily
responsible for the work in the Map or Chart template
COMPOSER(S):
- See Personal

responsible for the work in the Sound Recording, Performance, and

DATE:
- This is to record the date of
issue of publication, distribution, performance, exhibition, etc. Date
may be written as Month Year (e.g., June 2002) or Month Day, Year
(e.g., June 30, 2002) or as year only. Short forms of months may be
used.
DEPARTMENT:
- Each department has a 3 or 4
letter code. Please consult the Department Codes to find the code for
your department. Please enter this code in every record. You may enter
more than one code for a citation (for cross-affiliation). Separate
each code with a comma, space. (e.g. BAN, SMU).
- Dentistry, Surgery and
Engineering Research Centres must first enter the Department Code (e.g.
EDE, or
FCSU) followed by the Division Code.

EDITION:
- Enter the edition of the
work
using the format: 1st, 2nd, 3rd, Revised, etc.
- Do not write 'edition' or
'ed.' In
this field.
EDITOR(S):
- See Personal
Names for format
- This field is to record the
name(s) of the editor(s) of the document.
ISSUE#:
- The number of a specific
issue of
a journal.
- If a month is given instead
of a
number, the month may be entered (short forms of months may be used)
KEYWORDS:
- Terms specific to a
particular
citation
- Most journal articles
provide
keywords/descriptors on the first or last page of the article
- Separate each term with a
comma,
space
- Do not capitalize keywords
unless
these are to indicate proper names
- The keywords listed will be
used
for database searching and subject indexing purposes

LOCATION/URL:
- In the Electronic
Publications
template only
- The internet address where
the
item can be found.
NOTES:
- This field is to store any

- In the Monograph/Book
template,
this field should be used to record the total number of pages in the
book including introductory pages, e.g., iv, 274
PERFORMER(S):
- See Personal
Names for format
- The names of the Narrators
or
Performers of the work in the Radio/ Television, Sound Recording, Film/
Videotape, and Performance templates
- An individual's title may be
placed in brackets after his/her name for clarity
Example:

PLACEPUB:
- Indicate where the item was
published in this field
- Include the full name of the
city,
state/province, and country (if outside of North America)
- If the document was
published at
multiple sites, enter the Canadian city if available (If no Canadian
city is listed, then enter the first city listed)
PRODUCER(S):
- See Personal
Names for format
- The names of the Producers
and
Directors of the work in the Radio/ Television Program template
PUBLISHER:
- The name of the
publishing/distributing company.
- Also for the Distributor or
Local
Station for the Radio/Television Program template
REFEREED?:
- This field is used to record
Refereed or Non-Refereed Journals and is only found in the
Article/Journal template
- When entering an article,
just
enter Yes or No in this field.
- This field must be filled in
for
Articles/Journals
SERIES:
- Enter the series title (in
full)
If the work is a part of a series and the number if available Example:
The Nodd Brothers Series on Recreation;

SOURCE:
- Enter the larger work
(journal,
book, proceedings) here if the citation is within a larger work
- Enter the concert/exhibition
title
if the work is part of a concert or exhibition in the Performance and
Work of Art/Exhibition templates
TITLE:
- Copy the title exactly as it
appears on the original source. This includes any typographical errors.
If a typographical error is found in the title, then enter the correct
spelling of the term in the Notes field. In the case of a search,
either term will be found.
- Do not use "Quotation marks"
around the title.
- Title on the document is
listed in
two languages, use both titles and separate with an = sign.
Example:
Como agua para
chocolate =
Like Water for Chocolate
- Document is commonly known
by a
title other than the original use both titles and separate with an =
sign.
Example:
Hamlet, Prince of
Denmark =
Hamlet
- Review or translation of
another
work, enter: Title. Review/ Translation of...by... and italicize the
title of the original work
Example:
Another World. Review of Contact by C. Sagan
- Include the Chapter number
in
brackets after the title if available. Example: Babies in Space
(Chapter 1)
TYPE:
- This field should have the
name of
the template you have chosen and should not be altered (e.g. Article,
Computer Software/Service, etc.).
VOLUME#:
- Source/journal/proceedings
number
must be entered in this field (if available)
- Do not add abbreviations
such as vol.
or vol#
WESTERNID(S):
- This field records a
faculty/staff
member's name and is used to to create the web bibliography which lists
all items published by author.
- Only include the names of
faculty
members from your own department
- Enter the Faculty/Staff
member's
name as Surname, Initial.Initial
Example:
Smith, A.B.
- Multiple or co-authors in a
citation within the same department may be separated by a semi-colon
and space.
Example: Smith, A.B.;

Special Notes
Personal Names
The same format is used for several
fields that include Personal Names including ARTIST(S), AUTHOR(S),
CARTOGRAPHER(S), COMPOSER(S), EDITOR(S), PERFORMER(S), and PRODUCER(S)
- Enter personal names as:
Surname, Initial.InitialExample:
Smith, P.J.
- If more than one person is
responsible for the work, separate each name by a semi-colon; space
Example: Inking, W.;

- List the names in the same
order as found on the original source
- Corporate Authors may be
included in this field by placing an = (equals) before the name of the
corporation.

- List all authors involved in
the work
- Use the EDITOR(S) field for:
Compilers, Conductors, Directors, Designers, and Producers in the Sound
Recording Template, Film/Videotape Production Template and the
Performance Template. Follow the format for Personal Names above and
include the individual's title in brackets after his/her name for
clarity
