Can I teach all CCAA courses and workshops once I become a trainer?

No. You may only teach the CCAA course or workshop for which you became certified. Please contact the CCAA Education Coordinator for information about becoming certified to coach other CCAA courses and workshops.

What is the minimum number of participants required to run a session?

A minimum of 12 registrations are required to run a session at a host agency.

Do I have to renew my trainer or facilitator (coach) certification?

Yes. If you are a trainer or facilitator the CCAA will not ship training materials or manuals to support your sessions unless your certification is up to date. Note that maintaining your SFIC certification can only be enforced through your employer as a condition of employment/volunteering for teaching classes. Although there is no law that states an instructor must be certified in order to teach senior fitness, there are many benefits to maintaining certification.

How do I share TEP, HSEP, BALL and BBB session rosters with the CCAA?

  • Access one of the roster spreadsheets below
    • Session Roster (Excel)
      • Download and save the file use the naming formula outlined below
    • Session Roster (Google sheets)
      • Sign in to your Google account
      • Click File and then click Make a copy from the File dropdown menu
      • Rename the copy using the following formula: session type (tep, hesp, bbb or ball) followed by an underscore "_" and the session ID, for example tep_1004
  • Complete all available fields, then enter session participant information
  • Share completed rosters with the CCAA (ccaa.courses@uwo.ca) via email for Excel sheets or the share function for Google sheets

MyCCAA for Coaches

How do I post a session online?

  • Login to your MyCCAA account
  • Under MyCCAA Tools click “Session Registration”
  • On the Session Registrations for (Your Name) screen click the “Coaching” button
  • On the Coaching CCAA Sessions (Your Name) screen click the “Add Session” button
  • On the Add Session screen enter the required information about the upcoming session and click the “Save” button
    • Special instructions such as irregular prices or limited enrollment to certain groups should be included in the “Instructions” text box
  • If the session was created correctly you will see the phrases “Session added” and “Notification sent” on the Coaching Sessions screen
  • The session will be live on the CCAA website once it is reviewed and approved by an Administrator (usually within 3 business days)
NOTE: Sessions will not be posted on the CCAA website until the session details are reviewed and approved by CCAA edudation staff. This can take up to 5 business days.

How do I look up my upcoming sessions?

  • Login to your MyCCAA account
  • Click "Sessions Registration" under MyCCAA Tools
  • On the Session Registrations for (Your Name) screen click the "Coaching" button to see the sessions you have set up that will begin in the next 180 days

How do I mark attendance when a session is completed?

  • Login to your MyCCAA account
  • Under MyCCAA Tools click “Session Registration”
  • On the Session Registrations for (Your Name) screen click the “Coaching” button
  • On the Coaching CCAA Sessions (Your Name) screen adjust the filters to capture the session you are looking for and click the “Search” button
    • Click the “Detail & Reg’n” button next to the desired session
  • On the Session Detail screen click the “Manage” button
  • On the Manage Session screen click the “Attendance” button
  • On the Session Attendance Update screen click the checkbox next to each person who attended the session then click the “Save” Button
Note: Only individuals who have PAID for the session or have been granted a Complementary (COMP) registration will appear on the attendance list

How do I look up my session rosters?

  • Login to your MyCCAA account
  • Click "Sessions Registration" under MyCCAA Tools
  • On the Session Registrations for (Your Name) screen click the "Coaching" button
  • On the Coaching CCAA Sessions screen click the “Detail and Reg’n” button next to the session you want to check the list for (you may need to adjust the filters to capture the correct timeframe for the session you are looking for, default is set to "Next 180 Days")
  • On the Session Detail screen click the “Manage” button
  • On the Manage Session screen you will see the roster for the selected session
Note: Only individuals who have PAID for the session or have been granted a Complementary (COMP) registration will appear on the attendance list

How do I complete certification or renewal online?

Vist the MyCCAA User Accounts page for detailed instructions about how to become certified or renew using the MyCCAA system.

How do I complete or update my Coach Biography?

  • Login in to your MyCCAA account
  • Under MyCCAA Tools click "Profile"
  • On the Profile: (Your Name) screen click the “Coach Bio” button
  • On the Coach Biography screen click the “Update” button
  • On the Coach Bio Update: (Your Name) screen add or update the information in the text editor, upload a photo (or delete the current one), click the “Save” button
