Who is included?

  • People with active appointments in the Human Resources database e.g. (faculty, staff).
  • Units and departments and on-campus organizations associated with Western.
  • People added at the request of the directory coordinator.

Who is not included?

  • People with in-active appointments in Human Resources database e.g. (faculty, staff).
  • Students.

What data is included about a person?

The directory stores information about an individual based on; the individuals themselves and the units or departments they are associated with.

Note : Not all the data may exist for each person.

Individual Data

  • Last Name
  • First Name
  • Personal Title e.g. (Mr., Mrs., Prof.)
  • Preferred Name
  • Common Name
  • Classification e.g. (faculty, staff)
  • E-mail Address
  • User Id
  • Fax Number
  • Pager Number
  • Comment
  • Personal Web/URL
  • Private Office

Role Data

  • Department/Unit Name
  • Sub/Group
  • Phone Number
  • Location e.g. (building and room #)
  • Job Title

What data is included about a Department/Unit?

Note : Not all the data may exist for each department/unit.

  • Full Name
  • Address
  • Location e.g. (building and room #)
  • Phone Number
  • Fax Number
  • E-mail Address
  • Department/Unit Web Site, URL
  • Frequently Used Service (FUS) Web Site, URL
  • List of Frequently Used Service Phone Number, Location and E-mail Address
  • A link to display the personnel of that unit
  • A link to display just the faculty of that unit
  • A link to display the organizational structure of that unit

Updating the data

Individual Data

A person can update certain personal information such as their preferred name, personal title, e-mail address, personal URL, personal FAX number, private office address and comment. This can be done via the form Update Request for Personal Data . To update role information such as job title, phone number and location, they need to contact their Directory Coordinator.

Department/Unit and Role Data

Updates to department/unit and role information such as job title, phone number and location will only be accepted from the Directory Coordinator for that Department/Unit. There are now Distributed update privileges: The Directory coordinators can update departmental information directly to the database from a web page.
