  Records Management Policy

  1. For records management purposes the year will be August 1 to July 31.
  2. Case-related materials are highly sensitive and must be securely maintained.
  3. Original documents that are the property of the client will not be retained by the office.
  4. The office will keep records of cases for two years from the date the case was closed. At the discretion of the Ombudsperson, a particular record may be retained for a longer or shorter period.
  5. The method of destruction of records will be in keeping with the method of destruction used for confidential documents at the University of Western Ontario.
  6. A record of destruction will be kept for ten years.
  7. This policy will be available to the university community on request.
