Accessing the Tool

To access the Export Final Grades tool:
  1. Login to WebCT OWL (The University of Western Ontario institution)
  2. Click on INSTRUCTOR TOOLS (located in the External Courses channel)
  3. Select EXPORT FINAL GRADES
  4. Follow the on-screen instructions.

 


Instructor Instructions

Instructors will see a list of their sections for the current academic term. To export final grades:

  1. Select section(s) by clicking the checkbox.
  2. For each section, use the dropdown box to select the column containing the final grades.
  3. Click the EXPORT button.

A result page will display the status for each exported section and a link to download a hard copy of the export. The grades will be submitted to the department administrator and they will receive email notification that grades are pending approval.


Department Administrator Instructions

Department admins have three actions that they can perform: Export Grades, Approve Grades, and Enroll Me. The three actions can be performed via their respective tabs.

Export Grades

Department admins will see a list of all sections for their department for the current academic term. To export final grades:

  1. Click on the EXPORT GRADES tab.
  2. Select section(s) by clicking the checkbox.
  3. For each section, use the dropdown box to select the column containing the final grades.
  4. Click the EXPORT button.

A result page will display the status for each exported section and a link to download a hard copy of the export.

Approve Grades

All grade exports that are pending approval will be displayed on the Approve Grades tab. Beside each export there is a View PDF link that will display the grades that are pending approval. Print the PDF and collect the necessary signatures. When the hard copy has been approved:

  1. Click on the APPROVE GRADES tab.
  2. Select section(s) by clicking the checkbox.
  3. Click the APPROVE button.

Upon approval, the electronic version of the grades are submitted to the Office of the Registrar via secure file transfer.

Enroll Me

Department administrators may require access to a section's Grade Book to review grades or make revisions. To enroll yourself in a section:

  1. Click on the ENROLL ME tab.
  2. Select section(s) by clicking the checkbox.
  3. Click the ENROLL button.
  4. A message will be displayed at the bottom of the page confirming your enrollment.
  5. Return to the MyOWL page and you should see the section in your Course List.
