1 Introduction

Messenger is the electronic mail (e-mail) component in Netscape Communicator 4.6. Before running Messenger for the first time, please make sure it has been properly configured. For more information about installing and configuring Netscape Communicator, refer to the How do I... Use Netscape Communicator 4.6 Part 1 document. To start Messenger, click on  in the menu at the top and select . You should be prompted for your password. 

2 Interface

The Messenger window has four parts.
 
 
The commands are at the top contained in a menu and toolbar.
The left section shows the mail servers and folders associated with your account.
The upper right viewing area lists the messages in the currently selected mailbox. 
When you first start Messenger, the mailbox you see is your INBOX which contains new mail messages as well as any other e-mail messages that you have not previously deleted or filed into another mail folder. You may click on a message here to select it for viewing. The lower right viewing area displays the contents of each message you select.

3 Sending Mail

    1. Click on the  icon in the Messenger toolbar. A new window will appear where you may compose your message.
    2. Type the address in the  field at the top  and type in a subject in the  field.  You may use your mouse or the tab key to change fields.
    3. You send a copy to another recipient by either typing their address in an additional "To:" field or you can "CC:" (Carbon Copy) the other person.  If you wish to send a copy to another recipient but don't wish the original recipient to see whom you sent the copies to select "BCC:" (Blind Carbon Copy). To make one of these choices simply use your mouse to click on the  icon and a sub menu will appear  where you can make your choice. You could also use your address book by clicking on the  icon in the toolbar and selecting the desired address.
    4. Type your message in the window area below the subject line.
    5. You may check the spelling of your message by clicking on the  icon in the toolbar.
    6. Send the message by clicking on the   icon in the toolbar.

3.1 Attachments

If you wish to attach a file to an e-mail message such as a word processing document or a picture:
  1. Prepare to send a message as above.
  2. Click on the  icon in the toolbar.
  3. Select  from the sub menu.
  4. Choose the file you wish to send from the Window displayed and click the button.

  5. NOTE: Be sure to indicate in the body of your e-mail the file type you're attaching so the recipient knows which program to view the attachment with. Make sure you use the default three letter extension for your documents. i.e.: ".doc" for Word documents. Netscape may have problems sending the file if you substitute say ".txt" for ".doc".

4 Receiving and Reading Mail

  1. Click on the  in the toolbar. If there are messages the headings will be displayed in the upper right viewing area.
  2. To view the message click once on the header located in the upper right viewing area and the message's contents will be displayed in the lower right viewing area.

4.1 Setting Messenger to Check for Mail Automatically

Netscape Messenger has the ability to check if there are any messages waiting to be picked up from the mail server. To turn this feature on and set a time interval for checking:
  1. From the menu at the top choose . A dialog window will appear.
  2. From the list on the left, click on the  beside "Mail & Newsgroups". The following sub-list will appear.

  3. Click on the Mail Servers option under the Category section. On the right side of the "Preferences Window" the following window should appear. There is more information then is shown here but right now we will work with the section as it appears here. 
  4. Click on the  button to see this window 
  5. Place a check mark in the box labelled 
  6. Enter a time interval in the value box. 15 minutes is usually a good value. Do not use a time interval less than 10 minutes as it places an unneccesary strain on our mail system's resources.
  7. Click the  button.
  8. Click the  button again.

5 Replying to Mail

To reply to a message you're reading:
  1. Click on the  button in the toolbar while you are reading the message to which you wish to reply.
  2. If you would like to reply to everyone who received the original message click on the  icon.
  3. Edit the message that appears in your composition window (delete unwanted text and add your own responses where appropriate).
  4. Send the message by clicking on the  icon.

6 Deleting Mail

To delete an e-mail message:
  1. Select the message you wish to trash.
  2. Click on the  icon in the toolbar.

  3. NOTE: The message has not really been deleted from your system or the server but has been sent to another folder called "Trash". The Trash folder is just another folder like your INBOX folder. Once messages are in the trash folder you may permanently remove some or all of them (also deletes from mail server).
To remove the message permanently after it has been sent to the trash folder:
  1. Select the trash folder from the list of folders on the left side of the Messenger window.
  2. Click on the message(s) you wish to remove permanently. To select multiple messages: Hold down the CTRL key and click on each message that you want to select or click on the first message in a list and then hold down the SHIFT key while clicking on the last message and the entire list of messages will be selected.
  3. Click on the  icon in the toolbar.
To remove all messages from the trash folder:
  1. Click on "File" from the menu at the top.
  2. Select "Empty Trash Folder".

7 Mail Folders

Netscape Messenger allows the use of folders to organize and store messages. When you select IMAP as the method to access your mail there are two classifications of folders - server folders, and local folders. Server folders are contained on your mail server (i.e. imap.uwo.ca) and may only be one level deep, which means you cannot have a folder within a folder on a mail server. Local folders are contained on your hard drive, and you are allowed to create folders within folders. Server folders hold the mail up on the server so that this mail may be accessed from many different locations (e.g. office and home). Local mail folders contain mail that can only be accessed when you are sitting at the computer whose hard drive the mail is saved to.

7.1 Creating a Folder

  1. To start Messenger, click on  in the menu at the top and select . You should be prompted for your password.
  2. Click on the mail server you wish to create the folder on. (i.e. imap.uwo.ca)
  3. From the menu at the top click on "File" then "New Folder". A dialog box will appear. 
  4. In the "Name" field type in the name you wish to give the folder.
  5. In the "Create as sub-folder of:" drop down list select the location you wish to add the new folder to. Selecting "Local Mail" adds a new folder on your hard drive. Selecting "imap.uwo.ca" creates a new mail folder on the server.
  6. Click on the  button.

7.2 Deleting a Folder

To manipulate folders you must be in Netscape Messenger.
  1. To start Messenger, click on  in the menu at the top and select . You should be prompted for your password.
  2. Select the folder you wish to delete from the list.
  3. From the menu at the top click on "Edit" then "Delete Folder". This will move the folder into the Trash folder so you must still delete the folder from the Trash.

8 Filtering Messages

Netscape Messenger has the ability to filter messages based on their content. Therefore you may send messages to the proper folder automatically. To create filters you must have your "Messenger Mailbox" window open.
  1. From the menu at the top select "Edit" then "MessageFilters". A dialog window will appear.
  2. Click on the  button. The following window will appear. 
  3. Type in a filter name in the "Filter Name" field.
  4. Choose whether you want to have any or all of the filter criteria to be met.
  5. Select what Messenger should check when filtering from the section above where you see  above. You can check for other options by clicking on the  and making your choice.
  6. Select the condition under which the message is selected from the  drop down list.
  7. Type in what the filter is looking for the field beside the blank window to the right of the window mentioned in the previous step. You can choose multiple things to search for by clicking on the  button.
  8. Select the command Messenger should perform from the "then" drop down list.
  9. Select the folder from the folder drop down list.
  10. Type in a description of what the filter is for in the description window.
  11. Click on the  button. That particular filter is now set.
  12. To add another filter click on the "New" button and repeat steps 3 to 11. Otherwise click on the  button.
NOTE: A message which meets the criteria for multiple filters will be handled by the filter listed first. There is also extensive help available in Netscape by pressing the F1 function key.

9 Address Book

The address book is used to store e-mail addresses of your personal contacts and can be used to create a single list for group mailings. This list is stored on the local computer so creating an addressbook at work does not make it available at home.

9.1 Adding an E-mail Address to the Address Book

Method 1

If you have received a message from somone and would like to add them to your address book.
  1. Right click anywhere in the e-mail message and a sub-menu will appear where you can choose  An address book card will be opened for you.
  2. Make sure the name is correct and enter a nickname.
  3. Enter any other data you wish to keep track of.
  4. Click on the  button.

Method 2

Create a new address book card for which you know the e-mail address.
  1. Open the address book by clicking on  from the menu at the top and select .
  2. Click on the  icon.
  3. Fill in the "First Name", "Last Name" and "Display Name" fields and the "Email" field with the appropriate information.
  4. Fill in the "Nickname" field with a quick name that you can type when sending a message that will cause Messenger to insert the contact's full e-mail address. Make sure that the "Nickname" is easily recognizable to you.
  5. Enter any other data you wish to keep track of.
  6. Click on the  button.
When sending a message, you can type just the nickname in the "To:" field and press enter or return. Messenger will automatically insert the e-mail address associated with that nickname. You may also have your address book open and drag a nickname to the "To:" field of a message you are composing.

9.2 Adding a Mailing List to the Address Book

NOTE: To create a list, you must first have entered each member in your address book. These are private mailing lists seen only by you. To create a public mailing list see the document "How do I... Set Up and Maintain Public Mailing Lists".
  1. Open the address book by clicking on  from the menu at the top and select .
  2. Click on . A dialog window will appear.
  3. Type in a name for the list in the "List Name" field.
  4. Type in a nickname for the list in the "List Nickname" field.
  5. Type in a description for the list in the "Description" field.
  6. Type in the nickname for each contact in the entry fields.
  7. Click the  button when finished.
When sending a message, you can type just the list nickname in the "To" field and press enter or return. Messenger will automatically insert the e-mail addresses associated with that nickname.
