Reference, Background and Credential Checking
At Western, reference checking is an essential and important step in the overall recruitment process. After the completion of the interviewing stages and prior to any position being offered, the preferred candidate should provide a minimum of three (3) contacts to be used as references. These references will be contacted to substantiate and validate the information received during the interview process and to provide further insight into the candidate’s abilities, skills and knowledge as it relates to the position applied for and to the area of expertise required.
These three references should include at least one current or past leader along with close work associates, volunteer organization members and/or other pertinent resources. Non work related references should be used sparingly.
When requesting information or when providing information during this process, information needs to be gained through crisp and relevant questioning that relates directly to the position. It is important that we find out specific details of past conduct, behaviour, leadership style and/or skill development.
If a candidate has left a position due to a potential conflict, you will want to explore the validity of their answer to your interview questions through the reference. Ensure your questions are open-ended and allow the referee to respond in their own way. Failure to provide information that properly reflects candidates actions can possibly lead to legal action later by the university or the potential candidate if a misrepresentation has occurred.
When contacting a reference, ensure that you establish why you are calling, that the potential candidate has given you permission to speak with them and that you will be taking notes. Usually reference checking takes 15 to 30 minutes and if not convenient that an appropriate time should be set aside to ensure proper attention is given and details are adequately provided. After the discussion, detailed notes should be compiled and forwarded to your Human Resources Consultant as they may be utilized at a later date.
For positions where credentials are required, it may be necessary to confirm that candidates have the credentials they indicate. This may include confirming educational accomplishments, previous employment, research or licenses/certifications. If these checks are required, please contact your Human Resources consultant who will handle these confirmations.
