Communicating with the Individual
Western ID Letter
When a new Associated Person is registered on the HR database, a letter, addressed to that new Associated Person, is created to identify the individual’s new Western ID number and to explain the process to obtain a Western ONECard and the default services the individual will have access to.
The letter is sent via internal campus mail to the department specified. The letter is addressed to that individual ‘in care’ of the faculty/staff member accountable for this relationship.

UserID and Password
Once a new Western ID number is established in the Human resources system, a corresponding UserID and Password is issued by the Department of Information Technology Services (ITS).
When a new UserID is assigned, ITS creates a letter specifying the individual’s UserID, email address and password. This letter is addressed to that individual and sent to the Western Directory Coordinator for the department/unit.
The list of Western Directory Coordinators is maintained by the department of Information Technology Services (ITS). Please refer to the following ITS list of Western Directory Coordinators.
Note: Not all registrations for Associated Persons will result in the creation of a new Western ID and UserID. Other common situations that occur are:
- If the individual has another active relationship with the University, no new Western ID, or UserID is created.
- If the individual had a previous relationship with the University more than 13 months ago, ITS will create a letter specifying the individuals UserID, email address and password. A previously assigned UserID will be re-activated.
- If the individual had a previous relationship with the University less than 13 months ago and a UserID was assigned in the past, ITS will not create a letter. ITS will update the existing UserID to an ‘active’ status.
- If the individual did not receive their letter or cannot remember their UserID/password, they will need to call the ITS Computer Account Office.
When calling the ITS Computer Accounts Office, the individual will be asked for their Western ID Number. Calls regarding UserID and Password will also require verification of identity and personal information. If this information is missing or incorrect and identity cannot be verified, you will be directed to contact the Human Resources Communication Centre (HRCC).
