As part of the Corporate Card Program, American Express provides automatic car rental theft and damage insurance on certain vehicles when the card member uses the Amex card to rent and pay for the car.
The University recommends use of the Amex card because:
a) worldwide coverage is provided up to the full value of the car and there is no deductible amount, whereas the University's insurance coverage has a $500 deductible payable by the department and
b) claims under the Amex coverage will not impact negatively on the claims experience of policies purchased by the University.
If you would like more information on how to obtain a corporate American Express credit card email Sheila Smith or phone 661-2111, ext. 85496.
If you do not have a corporate American Express card, or cannot obtain one, or there is no coverage under the Amex agreement (eg. when renting a truck), the renter may wish to rely upon the University's insurance coverage. It is provided for rented vehicles driven for University related business. Under the University's Non-Owned Auto policy this is applicable to individuals who have a current appointment on the University's Human Resources payroll system. (This would include Faculty, Staff, Graduate Teaching Assistants, Graduate Research Assistants, Post-Doctoral Fellows.) If in doubt as to the status of the individual, please contact Jill MacDonald in the Corporate Insurance office at ext. 84745..
When Driven Within North America
The University has purchased insurance coverage for collision and comprehensive perils up to a limit of $60,000. It should not be necessary to purchase additional insurance. In the event of a claim, a $500 deductible applies which is payable by the department.
If persons other than employees will be driving the vehicle, collision and comprehensive perils (CDW) should be purchased from the rental agency.
It is not necessary to purchase third party liability insurance because the rental agency likely carries this insurance and the cost is normally included in the rental rate.
All drivers should be listed on the rental agreement.
The insurance coverage only applies to rentals under 30 days. Contact the Insurance Office at 661-2111 extension 84745 to arrange coverage under the university fleet policy for longer term rentals/leases.
Report any accident to the University's Insurance Office as soon as possible at 661-2111 extension 84745. If the Amex card was charged and the vehicle was damaged report the accident to their claims office as well. Phone 1-800-243-0198.
When Driven Outside of North America
The University has not purchased insurance; therefore, insurance coverage for collision and comprehensive perils should be obtained from the rental agencies. Insurance for third party liability of at least $1,000,000 inclusive, per occurance, should also be obtained if it is not included in the rental rates. If you would like more information on insurance or if you are renting a vehicle for more than 30 days email Jill MacDonald or phone 661-2111 ext. 84745.
