PeopleSoft Speed Codes are used only for data input into the PeopleSoft Purchasing, Accounts Payable or General Ledger modules. There is no output/reporting capability with Speed Codes. Speed Codes are comprised of your four character Speed Code (of which the first two characters are always alpha) followed by the appropriate account 6 digit code (eg. 622000 for supplies). These procedures will outline how to find your Speed Code(s) and how and where to use them.
To Locate a Speed code
Hard copy - All departments have been mailed a hard copy of the initial Speed Codes. A second hard copy may be sent out at the end of August 1999 to include new additions and alterations. No further hard copy will be issued after that point. Users can also print their Speed Codes from PeopleSoft using the On-line procedures as described below.
On-line - This can be done in PeopleSoft using GL Inquiry as outlined in these procedures (note: you will need Adobe Acrobat in order to properly view and print the procedures).
Using the Web - For users that do not have PeopleSoft access, Speed Codes are now available on the PeopleSoft Finance web site. Using your julian id and password you can use a search capability by clicking here.
Using a Speed code for ordering goods and services
Quote the appropriate 4 character speed code and 6 digit account code (for a total of 10 digits) when ordering goods and services by phone, fax or e-mail from any University systems contract supplier. A qualifying list of suppliers is highlighted in grey and available at www.uwo.ca/finance/purchase/supply.html.
Provide the 4 character speed code and 6 digit account code to the cashier when making an in-store University purchase at the Canadian Tire Masonville store or other systems contract suppliers.
Enter the 4 character speed code and 6 digit account code into the accounting fields at the bottom of either the Purchase Order form or Low Value Purchase Order form when purchasing by this method. If you do not have a form displaying these fields, then you have an old form. New forms are available in Purchasing by contacting Chris Stevenson at 661-2038, extension 84585.
Enter the 4 character speed code and 6 digit account code into the Royal Bank Visa Purchasing Card system when making an override to the default speed code. Refer also to P-Card procedures.
