Summer Web Registration

We have answered a few of the more commonly asked questions here about web registration for fall/winter courses. If you have other questions, you may contact the School of Health Studies Office at 519-661-4119 for assistance. You may make an appointment with an Academic Counsellor if needed.

Things to Remember

Please keep in mind the following when enrolling for your courses during the fall/winter academic year:

  1. make sure you balance your full course load such that you have five courses in each semester;
  2. make sure you have a conflict-free timetable;
  3. you must have 1.0 course from Arts & Humanities (now called Category B) before you graduate;
  4. you cannot count more than 7.0 year 1 courses towards your degree, which are 1000-1999; and
  5. you must have 2.0 essay courses.

What if I’m required to withdraw?

If you are required to withdraw, it means you did not meet the minimum university progression requirements at the end of year 1 or year 2. These are outlined in the current Western Academic Calendar . The deadline to appeal this decision to your current Faculty of registration is June 30th. It will be up to your Faculty Dean whether or not to allow you to continue into next year. For information on this process for BHSc students, you may consult the Faculty’s website.

What if I’m on probation? What does that mean for my registration?

If you are on probation, there are certain conditions you must meet in the next year:  you are restricted to 4.0 courses, you cannot fail any courses, and your term average must be at least 60%. If these conditions are met, and your overall average has increased to at least 60%, you would come off probation but you must meet the progression requirements every year after that year. If your overall average has not increased to 60%, but you met the other conditions, your probation will continue for another 12 months.  If you fail a course or your term average isn't at least 60%, you will be required to withdraw. 

What should I do if I can’t sign into courses?

There may be several reasons why you may not be able enroll in any courses:

  1. You may have a comment that says you must contact your Academic Counsellor prior to enrolling in courses; if you are on probation, academic counselling is mandatory prior to enrolling in courses.
  2. You do not have a line of registration for the fall/winter term, e.g., you did not do your intent to register.
  3. You do not have an appointment time to register or you are trying to register before your appointment.
  4. Your record may be sealed for unpaid fees or parking/library fines.

What if my record is sealed because I owe Western fees?

Until you resolve the issues associated with the seal, e.g., parking/library fines, outstanding fees, you will not be able to see your grades, report comments, or register for courses. Once the seal is removed, you are active again. 

How will I know when to register?

Your appointment time to select courses is posted on the Student Services website and you can view it when you log in. The 4th year students register first (normally in late June) followed by the 3rd (normally in early July) and 2nd year (normally in mid-July) students.

What if I cannot sign into courses at my appointment time?

You may enroll in courses at your appointment time or any time after. You may not get your appointment time changed to an earlier one because you cannot register at a certain time. All the appointment times are randomly generated by year, e.g., 4th year students enroll first, followed by 3rd year and finally 2nd year students.  Please also remember to ensure your record is not sealed or you that you have a counselling hold.

What if I don’t have the prerequisite for a course?

You may try to get special permission to enroll in the course if you an appropriate substitute. It may be possible to get special permission from the instructor in September. You will not be able to enroll in courses if you do not have the prerequisite so you should have an alternate course in mind since special permission is not normally granted. If permission is granted, you’ll need to call the helpline to enroll in the course.

What if the course says “not full” on the web version of the timetable but comes up as “full” when I try to register?

This happens when you do not meet the priority or restriction placed on the course. You may not get special permission to avoid these situations.

What does “priority” and “restriction” mean in the timetable?

If you look at the timetable and find a course has a restriction to a specific program and/or degree, you will not be able to enroll in that course if you don’t meet that restriction. You may also notice that courses have a priority to specific programs and/or degree but those priorities will only be in place until approximately July 25th when the course becomes available to other students. Special permission is not normally granted to students who do not meet restrictions or priorities since these are in place so program students can get courses to be able to graduate.

What if I want to change my program after completing summer courses?

If you get the grade you need in a summer course, you may be considered for admission to a program. If you met the condition as explained in your grade report comments, there is no action required on your part. If you needed your summer course to be admitted to a specific program, you should consult your Academic Counsellor for consideration.

What if I don’t get the grade I needed in my summer course? What will happen to the courses I enrolled in if I’m no longer eligible for my program?

If you don’t meet the required grade in your summer course, you may not enroll in the program. If you have already enrolled in courses for that program, the University reserves the right you remove you from those courses. You should consult your Academic Counsellor if this happens.

What if a course is full?

If a course has filled and it does not have a priority or restriction, you’ll need to keep checking to see if the course becomes available. Special permission is not granted to overbook a course during the web registration.

What if I want to take a course at an Affiliated College such as Brescia, Huron, or King’s?

If the course is offered on main campus and you are a main campus student, you need to take the course on main campus. The courses at the Affiliated Colleges are normally restricted (there are some exceptions) such that main campus students may not try to enroll in them until the September or January add/drop period. You may take a maximum of 1.0 course at an Affiliated College per academic year.

What if I want to take more than 5.0 full courses in a year, e.g., course overload?

To be eligible for a course overload in the first term, you must have an average last year of at least 75%. If you are not eligible in September, you may be eligible in second term if your average in first term is at least 75%. You may not get permission to take more than six courses in one semester.
