Automatic Closure

Policy

The CCAA office will be closed and fitness classes cancelled whenever Western University has made a decision to close the university according to its policy.

Communication

When a decision to close the university has been communicated by Western (usually by 6:30 am):

  • a message will be posted on the CCAA website http://www.uwo.ca/ccaa/
  • the Director will send an email to participants indicating that classes are cancelled
  • instructors and PAC contacts will attempt to contact their class participants by text or phone if possible.

Discretionary Closure

Policy

In cases where Western University remains open or has not issued a decision to close, but weather conditions and/or road conditions may pose extreme difficulty or risk for drivers, closure of the CCAA office and cancellation of classes will be discretionary, as outlined below.

Early Morning Classes

For early morning classes (6:45 am M-W-F and 6:30 am T-T), the instructor for the class will make a determination about the possibility of attending the class safely. They may consider the possibility of a substitute instructor being able to reach the centre and make arrangements for this to occur. If there is no possibility of the instructor or a substitute being able to attend, the decision to cancel the early morning class will be communicated as outlined below.

Communication

A minimum of one hour before class start time:

  • the instructor will inform the Director of their decision
  • if the decision is to cancel the class, the instructor will inform class participants in the most expedient manner (text/e-mail)
  • a message will be posted on the CCAA website and Facebook page indicating that the early morning class is cancelled and that an update will be posted by 7:00 am for the remaining classes
  • the Director will send an email to all participants with the same information

All Other Classes

For all other classes, a decision will be made by the Director and communicated to all participants according to the plan below.

Communication

By 7:00 a.m.:

  • the Director will inform instructors of the decision
  • a message will be posted on the CCAA website and Facebook page
  • if the decision is to cancel classes, each instructor will inform their class PAC contact
  • PAC contacts will be responsible for contacting class members in the most expedient manner (text/e-mail/phone)

Instructor Attendance

Policy

If classes are not cancelled, but an instructor is not able to reach the centre, they will attempt to find a substitute instructor.

Communication

If a substitute is not available, the instructor will contact class members and inform them the class is cancelled a minimum of 2 hours prior to class starting time.
